Baylor Electronic Health Records

About Baylor Medicine Data

Health data generated primarily from practices operated by Baylor College of Medicine (BCM) are available for research use.
As of 2025, this database represents approximately 450,000 patients. Because BCM mainly operates as an ambulatory care system, the data focus on outpatient visits and ancillary services, such as:

  • Diagnosis codes

  • Radiology procedures

  • Laboratory events

Note: Inpatient data from Baylor-affiliated hospitals are not currently included. All data are identifiable.

Epic Databases

BCM uses Epic as its electronic health record (EHR) system. These data are organized into two Epic-structured relational databases housed on SQL servers:

  • Epic Clarity

    • Derived directly from the real-time EHR system

    • Normalized data model with ~20,000 tables

    • Offers granular data with minimal redundancy

    • Preferred by experienced research teams for raw data access

  • Epic Caboodle

    • Built from Clarity using a dimensional data model

    • Organizes data into domains with fact and dimension tables

    • Contains ~500 tables covering key areas such as:

      • Vital Signs

      • Flowsheets

      • Encounters

      • Diagnoses

      • Medication Orders

      • Procedures

      • Laboratory Results

      • Clinical and Imaging Reports (not images)

      • Procedure and Progress Notes

Epic SlicerDicer

Researchers can explore Baylor Medicine data using Epic SlicerDicer, available through Epic Hyperspace or the MyApps Portal (Baylor credentials required).

  • Provides summary statistics and limited longitudinal insights

  • Does not offer patient-level data

  • Advanced analysis requires access to Clarity or Caboodle

About Baylor St. Luke’s Medical Center (BSLMC) Data

Baylor College of Medicine is a joint owner of Baylor St. Luke’s Medical Center (BSLMC), a tertiary-care hospital and clinic system that is part of CommonSpirit Health. Through this partnership, identifiable EHR data from BSLMC are available, including:

  • Individuals hospitalized at BSLMC

  • Patients seen in BSLMC-affiliated outpatient clinics

Specialty data from the Texas Heart Institute, Dan L Duncan Cancer Center, and solid organ transplant services are housed within BSLMC records rather than Baylor Medicine data.

Currently, BSLMC data exist only in an Epic Clarity database, but efforts are underway to make a Caboodle database available.
Linkage between BSLMC and Baylor Medicine patient records is possible through a crosswalk file provided by Office of Research IT.

Accessing Data

Because these data are identifiable, individuals requesting patient-level data must have Baylor College of Medicine credentials and Institutional Review Board (IRB) approval. There are two methods of access:

1. Custom Data Extract Request

  • Submit a request through the Baylor Research IT Core

  • Requires a project-specific IRB

  • Fees may apply depending on complexity

  • Request via ServiceNow form (Baylor credentials required)

2. Secure Health and Research Exchange (SHARE) Enclave

SHARE is a secure Citrix-based cloud environment that provides access to SQL Server Management Studio and RStudio for advanced data analysis

  • Users should be proficient in SQL and R

  • Currently contains Baylor Medicine Caboodle SQL database

  • Additional data sources (including BSLMC) will be added as available

  • Governed by an umbrella IRB protocol
